Manage training

You can manage training programs by creating new training programs, duplicating them, and making detailed edits to their content.

[What is the training function?]
You can build a training program with several courses.
Learners can select a training course from the list, make a reservation for the course, and take it within the specified period.

Creating training

01. Open the management screen

In the side menu, select "Training Functions" > "Training Management".

02. Open the registration screen

Click on "Add" next to "List."

03. Input title, etc.

Enter the training code, title, subtitle, and description.
Fields marked with "*" are required.

Note

If "Description" is set and "Description to be displayed in the list" is not set, the content set in "Description" is reflected in "Description to be displayed in the list".

04. Thumbnail image/OGP image settings

For thumbnail images, they are set by default (OGP is not set).
To set an original image, upload a file from the cloud icon or specify a media URL from the link icon.
To delete, click on the trash can icon.

【What is Open Graph image?】
Open Graph image is a thumbnail displayed when a URL including a website or an article is shared on a social networks.
It includes the title, URL, description and image.

05. Add a course

Click on the "+" icon next to "Courses" and select the courses you wish to include in the training.
Tick the courses you wish to register for and click the "Add" button.
By ticking the "Preview" box to the right of the added content, learners will be able to view a preview of the content before booking on the training details page.

06. Set the time period

Click on the "+" icon next to "Duration," set the "Ticket Use" or "Number of Seats" and "Duration," then click "Add."
*If "Number of seats" is left blank, an unlimited number of reservations can be made.

If "Ticket Use" is set to On, please also set the ticket details.

07. Setup of related parties

Click on the "+" icon next to "Setup Relationships" and first select a relationship from the pull-down menu.
Next, please tick the desired "display settings".
*If "Display Settings" is set to "Do not display," this applies only to the list on the "Find Training" screen and the training details screen.

08. Recommendation setting

You can set your training recommendations.
The higher this number is, the higher it will appear in the list on the "Find Training" screen.

09. Set the publication period

You can set the period of time to be published on the "Find Training" screen.
Note that you can hide the information in the list on the "Find Training" screen by checking ✓ in the "Do not publish" box.
In addition, if you tick the "Training Publication Notification" box, the administrator and relevant personnel will be notified by e-mail when the training is published.

10. Set the reservation period

You can set the time period for which you will accept reservations for training.

11. Set the duration of the event

You can set the duration of the training sessions that will be displayed on the "Find Training" screen.
*This is a display setting only and is not linked to the time period in which the training is held.

12. Automatic Approval Settings

Toggle On to automatically approve training sessions when they are booked.
To approve reservations one at a time, turn Off.

13. User Cancellation Permission Settings

If you want to allow users to cancel the training, turn the toggle On.

14. Publication Settings

You can set whether to make the training public and, if so, to which groups.
Please tick one of the boxes "Publish / Do not publish / Discontinue / Archive".
If you wish to publish, please tick the group(s) you wish to publish to.
When archived, it will be hidden in the "Manage Training" screen and the "Find Training" screen.

Note
  • No changes will be made to the assignments of users whose archived trainings are "reserved".
  • You can narrow down the list by putting ✓ in "Archived" in the "Training Management" screen

15. Review Setup

Set whether to display reviews and whether to allow submissions.
Please tick the one you prefer.

Note
  • Submitted reviews will appear on the training details screen
  • Be sure to set "Use review function" to On in the basic training function settings.

16. Category settings

You can set categories for your training.
Categories can be set up to search for training programs.
Please tick the desired ones (up to 10 can be set).

17. Regional Settings

You can set the region in which the training will be held.
Please put ✓ in the ones you want to specify (up to 10 can be set).

18. Tag settings

Tags can be set for the training.
Tags can be set to search for training programs.
To create a new tag, enter a tag and click "Add".
If you wish to use existing tags, click on "Choose from existing tags" and select the ones you want (up to 10 tags can be set).

19. Setting of reservation restrictions

Appointment limits can be set according to the badges that learners have earned.
Right-click on "{}Get All Badges."
To add a target badge, go to Add Badge > ✓ the badge you wish to add and click Add.
To relax the restrictions, click on "Change Restrictions to "Any"" to broaden the eligibility.

20. Ticket display item settings

The location/lecturer's name can be displayed on the ticket.
If you wish to display the information, please enter the information in the respective input fields.

21. Save/Preview

When all settings are complete, be sure to click "Save".
Click "Preview" to see a preview of the training details screen.
Click "Back" to return to the "Training Management" screen.

Review/edit training

01. Open the management screen

In the side menu, select "Training Functions" > "Training Management".

02. Search for training

At the top of the "Training Management" screen, you can search for trainings created based on information such as status and title.

03. Listing of training programs

A list of trainings that match the search criteria is displayed at the bottom of the "Training Management" screen.
Here you will find information about each training course, including its title, recommendations, and course name.

04. Edit Menu

To the right of each training program is a row of menu icons that can be edited.

Gear icon: Edit the content of the training.
Mail icon: Edit the mail sent to the administrator/confidant.
Copy icon: allows you to duplicate the training
Trash can icon: Delete a training program
