For decades, the school built its reputation on a foundation of paper-based materials and in-person lectures. However, as the number of "working students" increased, the school faced an urgent need to adapt to digital learning styles that utilize "gap time" throughout the day. Enhancing Retention via Micro-Learning and Resolving the Burden of Content Management

Could you explain the background that led to the implementation of your e-learning system?

Mr. Sakamoto:Our school provides preparatory courses for rigorous national exams, including the Bar Exam and Administrative Scrivener Exam. While we have achieved long-standing success with paper materials and physical lectures, student lifestyles have evolved. We saw a rapid increase in the need for "on-the-go" learning—studying in short bursts during commutes or breaks.

While the number of working professionals enrolled was growing, our digital infrastructure was not yet sufficient to support them. For students struggling to find large blocks of time, the traditional study methods were becoming a barrier to maintaining the long-term momentum required for these certifications.

What specific challenges were you facing regarding the Bar Exam courses?

Mr. Harada:During our curriculum revision, we realized that simply updating the content wasn't enough. We needed a system that would stabilize learning outcomes and increase retention.

While we offer live streaming and correspondence courses in addition to in-person lectures at our four main campuses, we found that students in correspondence programs particularly struggled with self-management and maintaining a schedule.

What were the challenges for the Administrative Scrivener courses?

Mr. Sakamoto:For these courses, we developed web-based workbooks for "output" practice following our "input" lectures. Previously, we outsourced the workbook development to an app firm. This was not only expensive but caused a three-day delay whenever we needed to update content for legal amendments or typos.

Furthermore, the manual registration of students following their application took several minutes per person, which diverted our focus from core duties like sales planning and material production.

How did you discover learningBOX, and what were your initial impressions?

Mr. Sakamoto:We discovered it through an online search and compared it against five other providers. Many systems bundle video delivery with content management, but since we already possessed a proprietary video platform, we only needed a robust system for our web-workbooks.

What was the final factor in your decision?

Mr. Sakamoto:The  Free Plan was a major factor, as it allowed us to test the environment thoroughly. Seamless Development via Excel Bulk Uploads

How was the process from implementation to going live?

Mr. Sakamoto:We held several meetings with the learningBOX team to align our goals and confirm technical capabilities. Because we could view the actual interface during these online sessions, the process was very smooth.

We launched first with the Administrative Scrivener course. To create the Q&A workbooks, we simply uploaded Excel data (Upload Quiz/Exam), containing the questions and explanations. This meant a single administrator could handle the entire upload process.

While it took 2–3 staff members about a month to initially draft the 2,000 questions, the actual system upload was fast and seamless.

Responsive Support and Intuitive Design

Now that you are using the system, which features do you find most effective?

Mr. Sakamoto:The management interface is incredibly intuitive, making it easy to operate even without specialized technical knowledge. This reduced administrative burden allows us to focus more on enriching our content.

Speed is critical in national exam prep, particularly for legal updates. Previously, it took three days to reflect a change; now, we can update the content the moment we notice a correction.

The variety of standard content formats (Manage contents) also allows us to switch learning styles based on our specific objectives.

How would you describe the support system?

Mr. Sakamoto:The response time is exceptional. From the pre-implementation phase to day-to-day operations, the team accurately understands our intent and provides prompt, thorough assistance.

They have also been flexible in accommodating the unique learning needs associated with the Bar Exam, which has allowed us to provide a highly practical environment for our students.

Use Case

"Web Workbooks" for Administrative Scriveners and "Digital Flashcards" for the Bar Exam

How is learningBOX being utilized in the Administrative Scrivener course?

Mr. Sakamoto:Our Administrative Scrivener course has a 42-year history of success. We use learningBOX to provide web-workbooks that align perfectly with our lectures and textbooks.

Students can watch a lecture and immediately reinforce that knowledge through the workbook.

Our typical students are working men in their 30s and 40s. They have responded very well to the fact that they no longer need to carry around three or four thick volumes of practice problems; they can study anywhere using their smartphones.

How is it being used for the Bar Exam?

Mr. Harada:Our Bar Exam course has produced over 5,000 successful candidates over its 47-year history. Our students range from middle-schoolers to those in their 70s, though we have seen a recent surge in younger students.

We use learningBOX for two main purposes: Flawshcards for core knowledge and Short answer practice for past exam questions.

Could you elaborate on the use of the Flashcards?

Mr. Harada: Flashcards digitizes our "Core Notes"—the heart of our Bar Exam curriculum. These notes aggregate only the most essential knowledge required for the exam.

Originally a B5 paper manual, students frequently requested it in PDF format.

However, we decided that instead of a simple PDF, using the "Flashcards" feature in learningBOX would be better, as it allows students to track their progress.

Why did you choose the "Flashcards"?

Mr. Harada:Because the Core Notes were already structured in a Q&A format, they were perfectly compatible with the flashcard feature.

Students love the visual feedback of categorizing cards as "Known," "Unknown," or "Memorized," which significantly improves study efficiency. (c.f. User Interface)

What has been the feedback from the students?

Mr. Harada:In a survey of 50 Bar Exam monitor students, we received comments like, "I'm impressed by this revolutionary tool," and "It’s convenient to do quick knowledge checks during gap time while outside."

For an exam that requires 1–2 years of study, the ability to touch the material frequently in short bursts—regardless of location—has been instrumental in improving retention and understanding.

Mr. Sakamoto:Administrative Scrivener students often mention the relief of not carrying heavy books. Some have even noted that using the smartphone as a dedicated learning tool helps them avoid the temptation of social media or web surfing, as they stay focused on the task at hand.

Outcomes

Reduced Costs and 32 Hours of Weekly Labor Saved

What are the most significant effects you’ve seen since implementation?

Mr. Sakamoto:Financially, we have saved approximately ¥500,000 per year compared to our previous outsourcing costs. Regarding labor, we have saved roughly 32 hours per week on content data entry and updates.

Additionally, by using the Self-registration feature, we eliminated the 3–5 minutes of manual labor previously required for each new student registration. This has freed up our team to focus on sales strategy and content creation.

We are also seeing a positive trend in retention rates as students find it easier to keep up with their studies via their smartphones.

Future Outlook

Expanding Smartphone-Based Learning Styles Across All Certifications

How are you preparing for the introduction of Computer Based Testing (CBT) in the Bar Exam?

Mr. Harada:We are planning to create typing practice materials.

By preparing legal terminology drills, we hope to help students type quickly and accurately, reducing the anxiety some feel regarding the shift to screen-based testing and typing-intensive exams.

What are your broader goals for the future?

Mr. Sakamoto:For the Administrative Scrivener course, we currently focus on Q&A formats, but we plan to expand into descriptive (essay) questions and full five-choice exams that replicate the actual testing environment.

Mr. Harada:For the Bar Exam, we are looking into digitizing all curriculum tests with automated grading for instant results. Identifying weaknesses immediately is a massive advantage for students.

As smartphones have become indispensable, we intend to continue providing a modern learning style across all our certification courses.
